Payroll Specialist, Intake

The Payroll Specialist for Payroll Intake/Upload is responsible for accurately processing timesheet and billing documentation, managing data uploads into various payroll and vendor systems, and supporting payroll operations across multiple brands. The role involves system testing, process improvement, and cross-functional collaboration.
Location: Remote (US)
Salary: $20.10 - $25.00/hr
Responsibilities
- Collect and process documentation from various payroll inboxes using established processes, software, and macros.
- Handle Bullhorn File Management for assigned brands, including updating match lists, reviewing and updating reports, and managing auto-produced EMP files.
- Run required reports after each EMP file is loaded and send results back to the appropriate systems.
- Maintain Time Off Policy assignments within ADP, run Time Off Import Templates, and update accrual balances weekly.
- Work Sunday through Thursday for timely document intake, with potential to work Monday through Friday for uploads, reporting, and issue resolution.
- Test and document new and existing systems and processes to improve business functionality.
- Develop internal relationships and collaborate with cross-functional teams to optimize operations.
- Work across all companies: Fastaff, USN, Trustaff, and other brands as needed.
- Perform additional duties as requested by management.
Requirements
- High School Diploma required; Associates or Bachelors in accounting or business preferred.
- 1-3 years of related experience, preferably in an in-house payroll environment.
- Knowledge of payroll practices including taxes and withholding.
- Experience with Bullhorn and Bullhorn Time & Expense preferred; understanding of Workday and ADP systems is a plus.
- One year experience in healthcare or staffing environment preferred.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
- Ability to follow instructions, work independently, and handle sensitive information.
- Strong organizational, time management, and interpersonal skills.
- Ability to maintain professionalism and calmness in high-stress situations.
- Effective prioritization, multi-tasking, and relationship-building skills.
- Discretion, tact, and independent judgment in problem-solving.
- Self-motivated, flexible, and able to work in a fast-paced environment.
